Pomegranate Occasions uses an industry leading cloud-based event planning software for our Partial & Full Service clients. Event hosts can also purchase the use of the software to use on your own. The software allows you to use professional resources and tools to organize and collaborate with guests and vendors in a seamless way.  

There are many aspects to planning an event, and quickly stuff becomes stored everywhere.  Photos saved to pinterest and/or your phone, documents stored in Google Drive and your desktop, multiple wedding planning organizers, and the list goes on and on.  It’s easy to feel unorganized as you try to remember where you saved an important photo or contract and how you can best communicate with your vendor team and wedding party.  Trying to figure out when you should order invitations, book a caterer, finalize your ceremony music, it’s a lot!  Luckily, we can remove the chaos early by providing a streamlined centralized cloud-based system to let us focus on the important things - your experience!

BUDGET

When a client books us for Full or Partial Service Wedding Planning the first thing we do is establish your wedding day priorities and a budget. We have knowledge on the expenses and costs associated to all items and can quickly create a realistic budget based on your wedding vision. Within the budget we list everything you may possibly desire to purchase for the wedding day, so you have a true estimate on how much it’s going to cost based on your guest count, needs and wants.  As your vendors are booked, we can add in the actual cost of each vendor and post payments made to vendors to keep a tally on your expenses.  Anytime a payment is due, a reminding about the payment that’s due before the actual due date to ensure we pay all vendors on time.


TIMELINE

We feel the timeline is the most important asset of your wedding planning. We preload a customized, venue-specific timeline template for you that includes all of the typical Day Of milestones of a wedding day as well as our advice and guidance and the personalized preferences you may want to experience. We utilize the timeline to curate and plan the logistics of your day.

Every important detail should sit within your timeline to ensure it gets done. This turns into our ‘playbook’ for how we will ensure seamless execution of your day.

For Full & Partial service clients, we will add or delete activities throughout the wedding planning consultation sessions based on your wedding day vision until we have it perfect. 

We confirm details of your finalized timeline about three weeks before the wedding with your Venue & Vendors and provide you a filter view for your Family and Wedding Party. 


CUSTOMIZED CHECKLIST

Our checklists are cultivated from years of experience and are completely customizable to you and your unique needs.

Assignments can be made, with email notifications, for each item to a member of your planning team and comments with updates or questions keep communication threads connected.


CALENDAR

There is a calendar in each client account where consultation sessions, site visits, dress shopping dates, etc. can be managed. 

You can sync your personal calendar to the portal so that it seamlessly tracks and records critical appointments so you are sure not to miss a thing.

The calendar also adds vendor payment due dates so no payments are missed.  


VENDOR CONTACTS

“Contacts” is the section where we introduce you to professional vendors complete with their brochures, contact and payment information, and sample contracts from past clients.

This saves you time and energy in hunting these key insights down. We keep track of vendor communications within the ‘comments’ section so all communications involved with your wedding are documented.  A copy of each vendor’s contract and invoice, payments made and when their payments are due can also be tracked in this section.

The platform offers a messaging feature that allows you to have a conversation with your planner regarding a particular vendor inside of this vendor contact area.  This keeps all of the information and messaging about a particular vendor in one place so you or your planner can refer back to the conversation at any time.


GUEST LIST MANAGEMENT

Your project folder allows you to keep your guest list organized. 

You can divide your guest list into groups; for example, have a list for the ceremony and a separate list for the reception (if you were to only have certain guests at the ceremony). 

Or you could have one list for the rehearsal dinner and one for the wedding.  You can track all of your guest RSVP’s in this section which adds transparency to the guest counts with the respective venue and catering vendors.


VENUE LAYOUT & SEATING CHARTS

We have a venue schematic template for over 25 different venues we work with regularly and will create a complimentary venue schematic for venues if they are not already in our system.

These layout templates allow us to effectively plan your decor and event stations which make for efficient Day Of set up.

The seating chart feature allows you to drag and drop your guests to a respective table making seating planning easy.  


DESIGN STUDIO

The Design Studio inside your project folder is like a mini Pinterest built right inside your personal account.  This is where we define the vision, theme and color pallet for your wedding. 

We have over 50 different design studios from past weddings we have curated and we leverage these to chat through the design and decor elements of your wedding.

You can also browse a database of real wedding inspiration and create new style guides (which are like “boards” in Pinterest) and create color palettes based on picture inspiration. Commenting features also allow us to share interactive links to your boards, make comments on each picture and have conversations with your planner directly within the boards themselves.  


NOTES SECTION

The notes section is where we document consultation session notes and have pre-loaded templates with all of our questionnaires and helpful information for your Wedding Weekend stay.

We add our note templates that includes:

  • Personal Decor Note: where we document each item of decor, set up and strike notes.

  • Wedding etiquette advice

  • Popular song suggestions

  • Packing lists and oh so much more! 

    You can add notes to this section at any time with any information you desire.


WEDDING WEBSITE

A free wedding website is included within each project folder.

A wedding website allows you to share your important wedding details, collect RSVP’s, start a gift registry, and communicate your love story and wedding theme.
